We are the data controller for the personal data described in this policy.

This policy explains what personal data we collect when you use icyfreightcourier.co.uk, why we collect it, how we use it, and your rights under the UK GDPR and the Data Protection Act 2018.

When you submit a quote enquiry through the form on our website, we collect:

• Name (required) — so we can address our reply.
• Email and/or phone (at least one required) — so we can respond.
• Company (optional) — for business context.
• Commodity, temperature, frequency, pickup, delivery and notes — to prepare the quote.
• Your IP address — held briefly in volatile server memory (typically under an hour) to prevent form abuse.

We do not collect any data through cookies, analytics tools or third-party trackers. The site does not set cookies.

Our hosting provider (Vercel) keeps standard request logs as part of operating the service. These may include your IP address, browser type and a timestamp. We do not analyse these logs except to debug issues.

• To respond to your enquiry — Article 6(1)(b) UK GDPR (taking steps at your request prior to entering into a contract).
• To prevent abuse of the form (IP rate limiting, honeypot field) — Article 6(1)(f) UK GDPR (our legitimate interest in keeping the site usable for genuine enquirers).

We do not use your data for marketing without your explicit consent.

• Quote enquiry data — kept for up to 24 months from your last contact, to allow follow-up and reference. After that, we delete it unless you have become a customer, in which case standard business records retention applies.
• IP address used for rate limiting — held in volatile memory only, deleted within roughly an hour.
• Hosting and server logs — retained per Vercel's standard retention (typically up to a few days).
• Email records — once an enquiry has been responded to via email, the email thread remains in the relevant inbox subject to normal email retention.

We do not sell your data and we do not share it for marketing. We use the following third-party providers ("processors") to operate the site, each under an appropriate data-processing agreement:

• Resend (resend.com) — delivers the email containing your quote enquiry from our site to our inbox.
• Vercel (vercel.com) — hosts and serves the website.

Both providers are US-based; international transfers rely on the UK Extension to the EU-US Data Privacy Framework (UK-US Data Bridge) or equivalent UK-approved transfer mechanism, depending on the provider's certification status at the time.

We may also share data when required by law (e.g. court order, regulator request), or with professional advisors (accountants, solicitors) under confidentiality, where strictly necessary.

We do not use cookies, browser storage, fingerprinting or any tracking technology. The site does not set cookies, does not run analytics, and does not load third-party scripts.

Under the UK GDPR you have the right to:

• Access — request a copy of the personal data we hold about you.
• Rectification — correct inaccurate or incomplete data.
• Erasure — ask us to delete your data where it is no longer needed.

We take reasonable precautions to protect your data: HTTPS encryption for all traffic, server-side input validation, rate limiting on submission, and the use of reputable processors with their own security certifications. No system is perfectly secure; we do our best.

The site is intended for business enquiries. We do not knowingly collect personal data from anyone under 18.
